Responsibilities

  1. Perform data entry of donor forms as well as welcome calls for verification: The consultant must put donor data from the donor form in to a template Excel file per batch on daily basis. Then each donor data must be verified by contacting the donor to welcome him/her as a UNICEF donor and thank him/her for his/her generosity. As the expected result, all donor data is valid and ready for submission to UNICEF’s PFP unit for bank processing.
  2. Maintain accurate records of donation data. This is very important to ensure high approval rate of every donation. Data entry errors (especially credit card numbers), lead to rejection of transactions, delaying donation receipt.
  3. Keep donor forms and data filed systematically. Since donor data is very sensitive information, original donor forms must be kept in a locked cabinet and soft copy files (scanned forms, Excel files) must be kept in a password-protected folder.
  4.   Ensure donation submission on regular basis to PFP unit for bank processing. The consultant must submit all donor forms on daily basis, in order to ensure all donations are processed as soon as possible for high approval rate.
  5. Track facer performance by monitoring donation submissions. After the consultant submits the sales to PFP unit, the consultant must keep record and track of the sales submission results (approved or rejected by the bank). This will form the basis of the performance evaluation of the facers (sales acquired / approved).
  6. Stock management and planning of F2F materials, ensuring that sufficient F2F materials are in place at all times. The consultant needs to regularly monitor the stock of F2F materials used by fundraisers, i.e. pitch cards, uniforms, booths, donor forms, welcome pack, merchandise, and display materials.
  7. Every month, the consultant must submit the following task that s/he performs on daily basis. So that PFP unit can use this as a basis to donor data maintenance in central system (donor perfect) that is only available in Jakarta and also as a basis to pay fundraisers’ fee.
  8. Provide welcome call verification report on daily basis

    -         Provide donation submission and result reports on daily basis

    -         Provide facers sales report on daily basis

  9. The admin should collaborate well with the whole team of F2F, especially with fundraisers to ensure quality donor forms to be input in daily submission.

  10.  Collaborate with F2F coordinator, facers and other F2F team member for day-to-day activities, possible interaction with PFP in Jakarta

  11.  Work with other staff to develop the program

  12. Action any other requests from PFP Unit
